Create and publish a clinic
Host a dated event with its own public registration page, QR code, and upfront payment.
Updated August 27, 2026
A clinic is a one-off, dated event — a summer tumbling clinic, a skills camp, a tryout prep day. Unlike lessons, a clinic gets its own public registration page anyone can open from a link or QR code, and families pay by card the moment they register. Money goes to the gym; you can pay participating coaches afterward.
Create the clinic#
- 1Open ClinicsIn your gym's sidebar, go to
Clinicsand clickCreate Clinic. - 2Choose the structureSingle session is one block of time — athletes register for the clinic itself. Multi-session lets you add named sessions (e.g. "Beginners — Ages 6–9"), each with its own times, pricing, capacity, and age range.
- 3Fill in the basicsName, description, and — for single-session clinics — the date and start/end times, entered in your gym's timezone. Multi-session clinics take their overall window from the earliest and latest session automatically.
- 4Set price and capacityEnter a price (0 makes it a free clinic) and an optional capacity — leave capacity blank for unlimited. In multi-session mode the price acts as the default per session, and each session can override it. You can also choose whether the public page shows remaining spots; either way it shows
Fullonce a cap is reached. - 5Add a flyer and confirm the locationOptionally upload a flyer image (JPG or PNG, up to 5 MB) for the public page. The location prefills from your gym — edit it or click
Use Gym Locationto reset. - 6Choose fee collectionPick how processing fees are covered for this clinic: your gym default, client pays, gym absorbs, or split.
- 7Attach coachesCheck

yoursite/your-gym/clinic/clinic-name. Share it from the clinic's Overview tab — Copy Link or Download QR — and print the QR anywhere: flyers, the front desk, social media. Scanning it opens the registration page.Editing after registrations arrive#
Once athletes are registered, the money-related parts lock: you can't change the price they registered at or delete a session that has registered athletes (refund/remove those registrants first). Renames, time changes, capacity, age ranges, coaches, and fee settings stay editable. The clinic's web address never changes after creation — even if you rename the clinic — so printed QR codes keep working.
Drafts, unpublishing, and repeat events#
- Draft clinics are only visible to your team — the public page shows a draft banner for you and a not-found page for everyone else.
- Unpublish takes a live clinic back to draft, hides the page, and releases coaches' schedule blocks.
- Running it again? Use the duplicate button on the clinic list — everything is copied; just set the new dates before publishing.
